1. Create a form and share
Use this section to create new scheduling requests that you can share with invigilators to collect their availability.
Click "Add Form" at the top of the Generate Form tab.
Enter a title for the exam session (e.g. "Year 11 Mock Exams").
Select the exam dates by clicking days on the calendar — click again to deselect.
Add your invigilators by their initials (e.g. JS, AB). You can drag the grip handle to reorder the list.
Optionally add a note with any special instructions for your invigilators.
Click "Generate Form & Share Link" to create the form and get a shareable link.
Invigilator Form: When Invigilators click the link, they will be able to view your note first, enter their initials, select their available slots, write their own notes/requests, and submit their availability.
2. Collect Responses
Stay updated on who is available to help. This tab shows all the availability responses collected from your forms.
Go to the Responses tab.
Select the form you want to view from the list.
You will see a table displaying each invigilator and their AM/PM availability across the selected dates.
Green checks indicate availability; empty cells mean not available.
If an invigilator left a note or special request, it appears in a summary row beneath the table.
Use "Copy for Excel" to export the table to your clipboard for spreadsheet use.
3. Auto-Assignment
Automate your scheduling with smart constraints. Auto-assign fills open slots based on invigilator availability, while respecting any manually pinned assignments.
Navigate to the Auto-Assign tab and select a form.
For each date, set the number of invigilators required for the AM and PM slots.
Uncheck a slot if you want to leave it blank (no assignment).
Pin specific invigilators by clicking their initials — pinned slots are locked and never overwritten by Re-assign.
Click "Run Auto-Assignment" to fill remaining slots based on availability and workload balancing.
Use "Re-assign" to generate an alternative arrangement if the first result isn't ideal.
Click "Save Assignment" to store the schedule, or "Copy for Excel" to export it.
Can a school register for multiple accounts?
Yes. Any school can have multiple accounts registered with the same yearly subscription. These accounts will have different credentials and presumibly operated by different officers. For most schools, one account suffices but if you do need second account, let us know at register@syncdays.co.uk
Invigilators with the same initials
The invigilators' initials are limited to four characters by design. You can use an extra letter; for example, if you have two invigilators named James Bragg and John Brown, you can use JAB and JOB as initials. You can also use numerical characters in initials if you like to.

Mistake in a generated form. Do I need to enter all the details again?
You can pause the collection for your current form that you want to replace. Then create a new form and use the option 'Load from Previous'. This will use all the information already entered and will allow you to make changes accordingly. Once all the changes are made, you can generate a new link and share it with invigilators. The old form that had mistakes in it can be deleted now.
The invigilator made a mistake in the submission. wants to edit their availability.
The design of this web application does not allow resubmissions. Invigilators can directly contact you to request amendments. This is by design to keep the exam officer informed of any changes in the availability matrix.
